2. Guide on How to Use PAIA

The South African Human Rights Commission (SAHRC) has compiled a guide containing information required by PAIA. The guide is available from the SAHRC at:

3. Categories of Records Held

Logical Solutions Innovations (Pty) Ltd holds the following categories of records:

3.1 User and financial data records

• User account records (email, display name, Firebase user ID)
• Transaction and budget data synced to Firebase
• Receipt images and extracted line items
• Bill split, debt, fuel, meal, and event records
• Consent and preference records (data collection opt-in/out history)
• Anonymised training dataset records (PII irreversibly blurred)

3.2 Operational and compliance records

• Support correspondence and legal request records
• Privacy policy and terms of service version history
• Subprocessor and data processing agreements
• Security incident and breach response records (if any)

3.3 Employee and business records (if applicable)

• Employee personal information and employment contracts
• Financial and tax records of the company
• Intellectual property and licensing records

4. Request Procedure

To request access to a record held by Logical Solutions Innovations (Pty) Ltd under PAIA, submit a completed Form 2 (Request for Access to Record) to the Information Officer.

1. Download Form 2 from the Information Regulator website: inforegulator.org.za or request a copy by emailing us.
2. Complete all required fields, including a sufficiently detailed description of the record requested and the form of access required (inspection, copy, etc.).
3. Email the completed form to support-budget.app@logicalsolutionsinnovations.com with the subject line "PAIA Request — Form 2".
4. Pay the applicable request fee (see section 5 below) if required.

We will respond to your request within 30 days of receipt, as required by PAIA. If an extension is needed, we will notify you in writing with reasons. If access is refused, we will provide written reasons and inform you of your right to lodge an internal appeal or apply to a court for relief.

Note: Personal information about yourself held in the CountaBill app can also be accessed, corrected, or deleted directly via the App (Settings > Profile) or under your POPIA rights as described in our Privacy Policy.

5. Fees

Fees are charged in accordance with the Regulations to the Promotion of Access to Information Act (Government Notice R187 of 2001, as amended):

• Request fee (private body): R35.00 per request (Form 2 submission).
• Access fee: R0.75 per page for photocopy or printout; actual postal or courier costs if records are posted.
• Search fee: may apply for requests requiring extensive search — we will notify you before proceeding.

Payment details will be provided upon receipt of your request. Access will be granted once the request fee (and any agreed search fees) have been paid.

6. Grounds for Refusal

Access to a record may be refused on grounds permitted by PAIA, including but not limited to: protection of personal information of third parties, commercial confidentiality, legal privilege, and records that would reveal a substantial contravention of the law. A written notice of refusal will specify the grounds and your remedies.
